Activity Manager

The Activity Manager gives you instant access to useful information. There are many categories of information accessible through the Activity Manager:

Greeting Cards — Contains 10 pre-made greeting cards that you can easily personalize and two templates for creating your own.

Stationery & Bulletins — Contains 10 designs for stationery and bulletins that you can personalize and print.

Special Effects - Text — Contains special effects composed using type. Using the powerful Replace feature of EXPRESS’ text dialog box, you can replace the type in the examples with words of your own.

Illustrations — Provides several collections, containing samples of artwork composed using EXPRESS.

To select activities:

1. Pull down the Draw menu and click on Activity Manager or select the Activity Manager from the Objects/Libraries flyout in the Toolbox.

2. When the Activity Manager dialog box appears, click on Open from the Collections menu. Highlight and select the YAL files that appear in the upper window. Their names will appear in the lower Opened Collections window. When you have finished selecting activities, click on Open, then Done.

3. The Activity Manager dialog box will reappear with the selected activity collections in the left box. Choose the activity collection you want from the left Collection box, and its contents will be displayed in the right window under “ Activity.”

4. Click on the activity you want, then Add to Document (or just double-click on the activity). The pointer will change to the Add Object cursor and the dialog box will disappear. Place the Add Object cursor in the upper left hand corner of your screen and click. The activity will be displayed at Actual Size.

Note: Most of the activities are designed for the Actual Size viewing level. Those in “Tests” are designed for Current Page. Either before or after adding the activity to the drawing area, pull down the View menu %!PI(`useguide.mvb',`help_viewMenupic') and choose Actual Size or Current Page.

Some of the activities should be ungrouped before doing the activity. You can use the Break Apart command in the Arrange menu %!PI(`useguide.mvb',`help_manMenupic') to ungroup activities.

Tips and Techniques for Using EXPRESS

The ability to turn ideas into pictures quickly and efficiently is the goal of Arts & Letters EXPRESS. These tips and techniques will help you take full advantage of the power of EXPRESS. And as you develop your own techniques or identify features we have overlooked that have a dramatic impact on productivity, please let us know.

Accel-O-Draw: There are several methods of speeding up screen redraw. Press the F11 key or pull down the View menu and click on Accel-O-Draw to switch off the interuptible redraw option. While the image is redrawing to the screen, you will not be able to select objects or perform other tasks which interrupt the redraw process. To cancel Accel-o-Draw at any time during the redrawing process, press the escape key on the keyboard..

Activity Manager: Don’t overlook the wealth of templates, sample files, logo designs, calendars and even greeting cards and stationary you will find in the Activity Manager. Pull down the Draw menu and click on the Activity Manager to display the list of activities available. If you did not install all of the optional activities, such as greeting cards, put the EXPRESS CD in the your CD-ROM drive, click on Collections and then on Open. The activities are located in the Activities subdirectory on the EXPRESS CD.

Adding Text: When adding several blocks of text, after placing the first block of text, click the right mouse button to display the Enter/Edit Text dialog box. Type the next block of text and click on Add. For special effects and headline type you can interactively change the spacing, leading, or kerning of a block of text. Simply click on the text requiring changes, hold down the right mouse button and select the Point Edit menu item. Notice that other text attribute functions are also available using the right mouse button feature.

Arrowheads: Select a line or curve and using the right mouse button click on the Line Style button in the button bar to display the Arrowhead dialog box. Specify the style and size of the beginning and ending arrowheads and click on Apply. In addition to arrowheads, there are a dozen other symbols you can select for the beginning or end of a line. Once an arrowhead has been applied to a line style, it will appear in the Line Style button. To turn off the arrowheads, select the first entry in the list — a line signifying no arrowhead — and click on Apply.

Color Filters: Color Filters are one of the most powerful features in EXPRESS. You can alter a single color or all of the colors in the file in a single operation.

For screen presentations, you can automatically eliminate dithered colors by selecting “Convert to Display Colors” one of 20 automatic operations.

For printing to black and white laser printers, “Convert to Gray” converts colored images to grayscale for optimum printing quality. Brightness and Contrast controls give you the ability to lighten or darken an image or a particular shade of gray.

For printing to color printers, Brightness, Contrast, Hue and Saturation slider bars give you complete control of the appearance of your work on any color device. From the Color Filters palette, you can preview changes to a single color, selected colors or the entire palette.

Color Palettes: Click on the Color Style button in the left hand corner of the button bar to display the color dialog box. A set of basic colors are followed by shades of gray and a spectrum from red to violet. Select an object and then click on a color to assign the color to the object. Following the spectrum are colors for commonplace subjects, food, plants, jewels, metals, etc. Click on the down arrow to reveal a scrolling list of colors with a description of each color. A matrix of these colors are saved in the Activity Manager as test files so you can print the palettes to evaluate how the colors reproduce on your printer. You can also load additional color palettes, as explained in the Activity Manager.

File Management: The Open File dialog box allows you to preview thumbnails of EXPRESS files, thus eliminating unnecessary time spent loading files to determine their content. There is also a description field that accommodates 255 characters of information about the file as an alternative to the additional storage required by the thumbnails. To merge files, click on the As New button to turn it off prior to opening any additional files to be added to the drawing area. The Rename File button allows you to rename the current file from within EXPRESS. For your convenience, there is a Delete File option that allows you to preview and delete unwanted files to conserve space on your hard drive.

Help for Items: On-line Help is always instantly available. Press the F1 key and point the Help cursor at any of the tools or icons in the button bar. Click the left mouse button to display a Help screen for that item. For help on any of the items listed in the drop down menus, press F1 and use the Help cursor to pull down the menu and select an item to display Help for the item.

Make Proportional: Each typeface and clip art image has a unique aspect ratio of height to width. If you accidently distort the appearance of text or a clip art image by pulling the side handles instead of the corner handles, you can restore the object’s original proportions by pulling down the Arrange menu and clicking on Make Proportional. Except for special effects, distorting typefaces and clip-art images is discouraged by artists and graphic designers.

Naming Objects: When working on complex drawings, naming objects can save time and simplify the process of selecting objects in a group. To name an object or change its name, select the object and click in the Object Viewer at the top of the drawing area to highlight the current description. Type the name and the object list will be automatically updated. For named objects, the first letter in the description indicates the type of object — C for Closed Shape, O for open shape, G for group, W for Warped Shapes and so on.

Object Management: The Object Browser is a powerful tool for managing all of the objects in a document. Press Ctrl+H or Backspace to display a list of objects beginning with the object that draws first. Unlike the Stacking Order dialog box, you can double click on a group and a tree structure for the group unfolds revealing all of the components of the group by type and name. You can select an object or multiple objects by clicking on the entries in the list and change their attributes by holding down the right mouse button. You can ungroup an object or select multiple objects by name and group rather hunting for the objects in a complex drawing.

Nudge or Precise Adjustments: To make precise vertical and horizontal adjustments in the position or size of an object, or a point handle, place the cursor inside the bounding box of the object or on a point handle and hold down the Space Bar while using the arrow keys on the keyboard to make fine adjustments. For extremely fine adjustments, zoom in on an area to further decrease the distance moved each time you press an arrow key.

Pushpins: Use pushpins to tack Toolbox flyouts and dialog boxes to the drawing area. Doing so prevents the flyout or dialog box from disappearing each time a command is executed. For example, when freeform drawing, pushpin in the Contruct flyout of tools to make then instantly available. When rearranging the layers of a drawing, pushpin the Stacking Order dialog box.

Quick Display Options: There are many factors which affect the speed at which your computer redraws an image on screen. The type of video board and the speed of the processor chip are major factors but there are techniques you can use to increase productivity regardless of your hardware. Wide lines — particularly if you are zoomed in — and gradient fills — especially radial fills — slow down the display of an image. If you don’t need to see the fills or the width of the lines, work in Outlines Only or turn the gradient fills display option to Faster instead of Better. To access these and other options, point on the Accelerator button in the right hand corner of the button bar and hold down the right mouse button to select the Quick Display options menu. (See also “Enhancing Performance,” below.)

Resizing Objects: There are three ways to size an object depending on your preference and the shape of the object. Click on a corner handle and push or pull the handle to resize, the object proportionately. To anchor the center of the object and size it proportionately, hold down the shift key as you resize the object. To size an object non-proportionately, hold down the control key to change both the height and width of the object.

Right Mouse Button: To quickly change the characteristics of an object, select the object and hold down the right mouse button to display a popup content menu or select any of the icons in the button bar just above the drawing area and hold down the right button to display a menu for the button. When using any of the tools in the toolbox to add or alter an object, use the right mouse button to cancel the operation. Note that the last entry in the menu displays the HELP topic for the tool or operation.

Save, Save, Save: Saving your work at regular intervals can save lots of heartache. Just press F9 to save your work. Another precaution is to use the automatic backup feature which saves the preceding version of your file with a .BAK suffix. Click on the Make Backup button in the Save As dialog box when saving your file. If you save always using the same filename, you only have the .BAK version as backup. When working on a complex drawing, save the drawing in stages appending a number or letter to the name so you have multiple copies of the drawing as it progresses. If you need to go back several generations because of a design descision, you will have an appropriate file to restart the project.

Size & Move: To size and move an object in one operation, select the object, point on an object handle and hold down the left mouse button to size the object. Without releasing the left mouse button, hold down the right mouse button which allows you to move the object. Release the right mouse button to resume the sizing operation.

Stacking Order: The Send to Back (Shift+F) and Bring to Front (Ctrl+F) commands are designed for altering the stacking order of objects in simple compositions. For complex drawings pull down the Arrange menu and click on Stacking Order to display a list of objects in descending order with those that draw first at the top of the list. Click on one or more objects to highlight the objects to be reordered. Move the cursor between any two objects. Click the left mouse button to insert the highlighted objects in the order specified.

Use Both Hands: Try to use both hands: one hand on the mouse, one hand on the keyboard. Learning just a few of the Accelerator Keys will have a dramatic impact on your productivity. For example, to display the Clip-Art Manager, just press the Enter key on the keyboard. Other accelerator key strokes can be found to the right of the items in the drop down menus or print a list of accelerator keys from the on-line Help for easy reference.

4-Color Check List: Here are a few guidelines to use when preparing film separations for four color process printing. Observing them will help you avoid unnecessary imaging charges.

Line Weights — The default setting in EXPRESS for line width is zero which produces lines that are barely visible on high-resolution imagesetters. Increase the line widths accordingly.

Black Objects — Check that the black is 100% K and not 100% of C, M, Y which will appear black but will not print as black.

Overprint Type — apply Overprint to the line and/or fill attribute of object that should be overprinted. For example, black type over a background should be overprinted and not knocked out of the background.

Color Calibration — Consult a process color guide to accurately define colors using percentages of C,M,Y and K. Never rely on the colors as they display on the computer screen.

Screen Angles — Most high-resolution imaging devices have recommended screen angles for specific line frequencies (to eliminate moire patterns). To find these settings, consult the manual for the imagesetter you will be using.

Color Proof — Be sure to produce a color proof from the separated film to check your work before turning the job over to your printer.

Multi-tasking

Arts & Letters EXPRESS has been designed to operate efficiently on a 486 computer with 8 Mb of RAM. Some operations, however, are computationally and/or memory intensive and may require extra computing time.

EXPRESS ’ multi-tasking feature lets you continue with other operations while a time-consuming task is being performed, so you don’t always have to wait for one operation to finish before starting another. Some operations, however, cannot be interrupted and require that you wait until they are fully or partially completed before starting another operation.

The Accel-O-Draw command in the View menu temporarily turns off multitasking in EXPRESS in order to permit a faster screen redraw. You cannot perform other tasks until redrawing has finished. (You can terminate an accelerated redraw by pressing Esc.)

If you want a quicker screen redraw and it is not necessary to view the completed drawing at once, choose Outlines Only under Quick Display in the View menu (or press Ctrl+6). If you need to see your work redrawn at each stage, use Accel-O-Draw. It will cause the drawing to be completed anywhere from 10% to 300% faster, with an average improvement of probably 50%.

Accelerator Keys

Many of EXPRESS’ accelerator keys have the same assignments as Windows accelerator keys. They make it easy to choose the command from the keyboard instead of displaying a menu and highlighting the command with the mouse.

An accelerator key can be a single key (such as the F4 function key or the Del key) or a two-key sequence using theShift key, the Control (Ctrl) key, or the Alternate (Alt), plus a second key, usually shown as Key+Key. The accelerator keys are listed in the menus after the commands to which they apply.

The Arts & Letters ALLETTER.INI File

The following section describes the purpose of each line in the Arts & Letters ALLETTER.INI file. The ALLETTER.INI file is located in your Windows directory with a backup copy in your EXPRESS directory. EXPRESS does not use your WIN.INI to store this information.

[EXPRESS OFFICE]

This line is the heading. It identifies which product the following lines are used for.

Each new product will have its own heading in the ALLETTER.INI file.

FirstTimeFile=C:\EXPRESSOFFICE\FIRST_TIME.GED

During the installation process, if you specify you are a first time user, when

the drawing program is loaded for the first time, the First_Time.ged is displayed.

URLpath=www.expressusers.com

When you pull down the Help menu and click on EXPRESS Connection to the Web,

the program will invoke your Internet browser and load the URL specified above.

URLpage=/cgi-bin/exphelp.asp

When you pull down the Help menu and click on EXPRESS Connection to the Web,

the program will invoke your Internet browser and load the page specified above.

Express=C:\EXPRESSOFFICE

This line is used by the installation program to identify where the main program files

are to be located. When updating or reinstalling EXPRESS, this entry identifies the

default path and directory.

BackupPath=C:\EXPRESSOFFICE

If ‘Make Backup’ is selected in the SAVE, or SAVE AS dialog boxes, the directory

specified above is where the backup files are saved. The file extensions are automatically

renamed to .BAK instead of .GED so that they may be placed in the same directory as

the .GED files.

Symbols=C:\EXPRESSOFFICE\SYMBOLS

This line points to the directory in which INDEX.ALL and any available DLIBxx.ALL

files are located.

Typefaces=C:\EXPRESSOFFICE\TYPEFACES

This line points to the directory where Arts & Letters typefaces (DFONTxx.ALL)

are installed.

Config=C:\EXPRESSOFFICE\STARTUP.DEF

This line defines which file EXPRESS is to load as the default. The file name and even

the suffix (.def) are arbitrary and can be changed as long as the file is specified in the

above line. The directory can be anywhere on your system. The file that is loaded

determines internal paths and settings. See the on-line User’s Guide for details for

how to save default settings.

Libraries=3

Library1=C:\EXPRESSOFFICE\CLIPART\*.yal

Library2=D:\EXPRESS\CUSTOM\*.yal

Library3=C:\EXPRESSOFFICE\CLIPART\landmark.yal

This section relates to the Clip-Art Manager. The first line specifies how many of the

library entries (described on successive lines) should be loaded into the Clip-Art

Manager. Each line that follows can point to any location and load a specific file or all

files in a directory by using standard wildcard conventions. The last line in this list tells

the Clip-Art Manager which library to highlight as the default library when the Clip-Art

Manager is displayed for the first time.

This section is identical in purpose and operation to the previous section except that it

refers to the Activity Manager.

Alternate symbols=D:\EXPRESS\SYMBOLS

This line points to the alternate location where DLIBxx.ALL files may be found to

supplement the original SYMBOLS= line. Unless all of the symbol data is installed

on your local hard drive, EXPRESS will also look for symbol data in the alternate

location specified, generally a CD-ROM drive or a network drive.

Alternate typefaces=D:\EXPRESS\TYPEFACES

This line points to the alternate location where DFONTxx.ALL.files may be found to

supplement the original TYPEFACES= line. Unless all of the typefaces are installed

on your local hard drive, EXPRESS will also look for typeface data in the alternate

location specified, generally a CD-ROM drive or a network drive.

NoPreactivateYALS=1

This line controls whether the clip art and activity libraries are load when EXPRESS

is launched or when the Clip-Art or Activity Managers is first selected. The switch is

set initially during installation.

AllowOldYALUpdates=0

This line affects the default restriction for updating YAL files from 3.12 versions and

earlier. If this line is omitted, the program assumes a default of ‘0’ and does not

allow the update process to affect older YAL files. If this line is present and has a

value of ‘1’ the program turns off the security and allows you to update older YAL files.

ShowDuplicateYALs=0

This line controls how the Clip-Art Manager and Activity Manager load and list YAL files

with duplicate library names. If this line is omitted, a default of ‘0’ is assumed and

the program will NOT list YAL files that have duplicate library names. If this line

is present and has a value of ‘1’ the program will list all entries. This feature is

designed to accomodate installations where .YAL files may be stored on your local

drive and on a CD-ROM or network disk drive. The program loads each library and

compares it with all other libraries. If it finds a duplicate it lists the library with the

most recent date stamp and ignores the others.

PSDriver=0

This line controls how EXPRESS handles printing to a Postscript Device. If this line

is omitted, the program assumes a default of ‘0’ and tries to supplement the

printer driver with Arts & Letters specific features. If this line is present and has a value

of ‘1’ the program does not supplement the driver. This can be used as a correction

for some PostScript printing problems but it limits the program in several ways.

PostScript separations are turned off (which affects Screen angle settings, UCR for

TIFFs etc.), and color output goes through Windows RGB color values instead of our

CMYK color values which may cause color matching problems. This option is still under development and may be enhanced in the future.

Gradient clip=0

This switch controls how EXPRESS prints images with gradient fills to non-PostScript

printers. The program assumes a default value of "0" if this line is not present. This should work

in most situations. If gradients are not printing properly then set the value to "1" and reprint.

Since this is primarily a printer driver issue sometimes a newer printer driver will also correct

the problem. Check with your printer manufacturer for driver updates.

list as many as six files for each type (FileN=EXPRESS files, DefN=Default files,

PalN=Palette files, StyleN=Style files).

If these lines are omitted, the program will use internal defaults.

Turning on the Opening Sound File

To turn off the wave file that plays when you start EXPRESS, delete the line below from the .ini file. To change the wave file, use Notepad to open the ALLETTER.INI in your Windows directory and add the path and directory of the wave file you want to play. Once the wave file begins playing, you can click anywhere to cancel the wave file and proceed with the next operation.

where X is the designation of your CD-ROM drive. Do not delete or change

any other portion of the line.
